Lead Triage

Hina Qureshi · managing partner, Caravan Events — every lead lands in info@

Caravan Events’ leads land in a shared inbox — wedding inquiries mixed in with a bank’s annual-conference RFP worth forty times as much. Hina triages by scrolling, usually at night, sometimes too late: the good ones expect a reply the same day.

Now every inbound lead is classified and scored the moment it lands, and a priority digest sits in the inbox before she opens it — the two that matter already on top, each with the arithmetic that put it there.

fictional demo · real workflow we run it for you the lead worth forty weddings, always on top 2–3 week build

Before

Every lead landed in the same shared inbox — a forty-times-bigger RFP mixed in with wedding inquiries, found only if Hina scrolled far enough, often at night.

After

Now the priority digest sorts on arrival — the two that matter are on top, ranked and reasoned, before anyone opens the inbox.

The deliverable

This is the actual digest the workflow produces for the fictional Caravan Events inbox — eleven leads sorted, two flagged priority, every score shown as arithmetic. Scroll it; it’s real.

How it runs

📥

One inbox, nothing else

It reads exactly one mailbox — the shared inbox the team already triages together — never anyone’s personal account. It’s read-only, via a forwarding rule the client controls and can switch off any minute.

🧮

Sorted and scored

Each lead is classified and its facts pulled out, then scored by ordinary code against the client’s own rules — the arithmetic behind every rank is visible, not a feeling.

Checked before it counts

Every extracted fact must cite the exact phrase it came from, and code checks that phrase appears word-for-word before it’s trusted. Anything the AI is unsure about lands in its own “needs a human look” section instead of being scored or buried.

The full digest reaches the shared inbox; a short ping reaches WhatsApp naming the leads that matter.

The essentials

We run this for you. You don’t operate anything; the digest just arrives. Your decisions: what counts as priority, and who’s on the digest.

Build time
2–3 weeks, mostly tuning what counts as priority for this business
Honest note
Classification is right most of the time, not all of it — anything uncertain lands in its own “needs a human look” section instead of being scored, which is why it ranks leads instead of replying to them.
