The Proposal Drafter

Hina Qureshi · managing partner, Caravan Events — every proposal starts at 11pm

Every Caravan proposal is bespoke — venue, headcount, run-of-show, budget tiers — and every one starts at 11pm from the last client’s file, with the last client’s name lurking in paragraph nine.

The Proposal Drafter is a playbook on Caravan’s own subscription: discovery notes in, a tailored draft out — in the house format, with placeholders where the notes are silent.

The mock

A sketch of the drafting conversation — not yet captured from a client run, which is why it fades out.

Draft the proposal — annual conference, 800 guests, two days, Pearl Continental or equivalent. Three budget tiers as usual.

Drafting in the Caravan house format — seven sections, three tiers. One flag before you read it: your notes don’t state AV requirements, so §4 carries a [Caravan to confirm] placeholder rather than an assumption. Everything priced comes from your rate sheet; nothing is invented.

What we’d build

The essentials

This runs on your own Claude or ChatGPT subscription. No infrastructure, nothing extra to run. We set it up, load your house format and rate-sheet rules, and train your team.

Setup time
About a week, tuned on two real proposals
Honest note
It drafts from what you captured — thin discovery notes make a thin proposal, and it says so instead of padding.
